HOW DOES THE MONTHLY SUBSCRIPTION (FOR ART CLUBS) WORK?

We offer a monthly subscription to make payments easier and more manageable for families. We used the Pebble booking syatem. The cost of the club is spread evenly across the year, so you do not need to pay a larger amount each term. 

Your child’s place is also automatically secured and rolls over each term, to eliminate booking worries


HOW IS THE MONTHLY FEE CALCULATED?

There are 39 weeks in an academic year, and we deliver 30-32 sessions across this time (dependent on your school)

To calculate the subscription:

  • We multiply the cost per session by the amount of annual sessions to get the total annual fee
  • We then divide this total by 12 months

This creates a consistent monthly payment, which is taken on the 1st of each month, throughout the year.


WHY ARE THERE 30-32 SESSIONS PER YEAR, INSTEAD OF 39 WEEKS?

Most schools only allow external providers to deliver a limited amount of sessions per term.

We plan for 30- 32 sessions (dependent on setting) to allow flexibility throughout the school year.

30-32 sessions cover occasions when sessions cannot take place, such as:

  • Parent consultation evenings
  • School events where rooms are unavailable
  • Rare cases of educator illness


AM I COMMITTED TO A FULL YEAR?

No - there is no requirement to commit to a full year. You are free to cancel your place at any time (providing four sessions notice)


WHAT NOTICE PERIOD IS REQUIRED TO CANCEL?

We ask for four sessions notice if you wish to cancel.
Please provide this in writing via email, as messages sent via WhatsApp can sometimes be missed.


WHAT HAPPENS AFTER I CANCEL?


Once we receive your written notice, we will:

  • Calculate how many sessions we have delivered since your child first signed up
  • Multiply this amount by the session cost
  • Compare this with the payments you have already made

If you have overpaid, we will issue a refund. If there is any outstanding balance, this will either be taken from your final payment or invoiced separately.

You will always receive a clear and transparent breakdown of this calculation.

Your subscription will be cancelled once your final fee calculations are settled and your child has had their final session with us.


WHAT HAPPENS IF MY SUBSCRIPTION PAYMENT WITH PEBBLE FAILS?

All payments are taken on the 1st of each month. If your payment fails, the Pebble booking system will attempt to take the payment three more times. 

If after the fourth attempt your payment fails again, Dot Kids will invoice you for the amount. 

Please note that from the 1st June 2026 we will be adding a 10% admin fee on all late payments that have to be invoiced.
